  • Case and service data entered by funeral home staff on behalf of families they serve.
  • Family portal data: information submitted by family members through the secure portal (e.g., obituary content, photo uploads, payment information).
  • Payment information: card details are tokenized directly by our payment processor (Clover). We do not store full card numbers.
  • Usage data: pages visited, actions taken, browser type, IP address, and timestamps, collected automatically.
  • Communications: messages or support requests you send us.

3. How We Use Your Information

  • To operate and improve the Greenfield Memorial platform.
  • To process payments for funeral services on behalf of funeral homes.
  • To send transactional communications (e.g., payment receipts, portal access links, appointment reminders).
  • To send marketing communications to registered users, including product updates, feature announcements, and promotional offers. You may opt out of marketing emails at any time by clicking the unsubscribe link in any email.
  • To comply with legal obligations and protect the rights and safety of our users.

4. Text Messaging (SMS)

Registered users of the Greenfield platform may opt in to receive text message (SMS) notifications, including transport alerts, case updates, and appointment reminders.

By opting in to text messaging, you agree to receive automated text messages from Greenfield Memorial at the phone number you provide. Message frequency varies. Message and data rates may apply. You may opt out at any time by replying STOP to any text message you receive from us, or by updating your notification preferences in your account settings. Reply HELP for assistance.

We do not sell or share your phone number with third parties for their own marketing purposes. Carrier charges for text messages are the responsibility of the recipient.

5. How We Share Your Information

We do not sell your personal information. We may share information:

  • With funeral homes that use our platform to manage cases in which you are involved as a family member.
  • With service providers (e.g., cloud storage, payment processors, SMS gateway providers such as Twilio) that help us operate our platform, under appropriate data processing agreements.
  • As required by law, court order, or government request.
  • In connection with a merger, acquisition, or sale of assets, with appropriate notice.

6. Health Information and HIPAA

Greenfield Memorial provides software used by funeral homes and related service providers. In the course of using our platform, certain information — such as cause of death, medical certifier details, or other data appearing on death certificates and case records — may be entered by funeral home staff.

Funeral homes that are subject to the Health Insurance Portability and Accountability Act ("HIPAA") as Covered Entities or Business Associates are responsible for ensuring their own HIPAA compliance. To the extent Greenfield Memorial receives, maintains, or transmits Protected Health Information ("PHI") on behalf of a Covered Entity, we are prepared to enter into a Business Associate Agreement ("BAA") as required under HIPAA.

If your organization requires a BAA, please contact us at privacy@greenfieldmemorial.com. We will not knowingly accept PHI from an organization that has not executed a BAA with us.

Note: Most funeral homes are not Covered Entities under HIPAA; however, if you are unsure of your obligations, we recommend consulting legal counsel.

7. Data Retention

We retain account and case data for as long as your account is active and as needed to fulfill the purposes described in this policy, or as required by applicable law. You may request deletion of your account by contacting us.

8. Security

We use industry-standard security measures including encryption in transit (TLS), access controls, and secure tokenization for payment data. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

9. Your Rights

Our platform is not directed to individuals under 18. We do not knowingly collect personal information from children.
